Event Assistant

Are you someone who likes to host beautiful parties, organize and plan, and meet new faces? Do you love to-do lists, sticky notes, and Target runs? Want to make a difference in babies’ lives while doing your job? Then joining the Mother’s Milk Bank at Austin (MMBA) as an Event Assistant might be for you.

This part-time position sits on the Outreach & Fundraising team and reports to the Fundraising Director. You will build our visibility in the local community by supporting our annual calendar of events from conception to cleanup. This includes event planning, vetting of venues, talent, and in-kind donations, prepping supplies and resources in advance of events, and representing the milk bank at our events. Outreach events span from tabling at local pregnancy fairs, to our own hosted parties for families involved with the milk bank, and our annual fundraising gala.

Summary of Essential job functions:

  • Coordinate 15+ events of various scale throughout the year
  • Collaboratively with the Outreach & Fundraising team, plan each event several months in advance, focusing on plans that will achieve our fundraising or community outreach goals while staying in budget
  • Solicit sponsorships from potential vendors, restaurants, musical talent, and other businesses
  • Purchase and prepare all necessary event supplies such as booths, goodie bags, and silent auctions
  • Ensure RSVPs and guest preparedness through attendee communication efforts
  • Represent the milk bank at our events, interacting with community supporters and other guests and providing a positive experience with the milk bank
  • For events you won’t be attending personally, equip staff with everything they need for a successful day
  • Collaborate on summary reports of each event, including attendance, results, cost, and learnings that can inform the next year’s events

Skills and Competencies needed:

  • Clear and professional written and verbal communication

  • Attention to detail with the ability to prioritize tasks and meet deadlines

  • Ability to work independently, stay on-task, and meet weekly goals without supervision

  • Calm demeanor under pressure

  • Design or event-planning background a plus

  • Availability to attend occasional events on evenings and weekends

Compensation

Part-time (25 hours per week) salaried position based on $16-17 per hour (depending on experience)

Donor Program Assistant

Are you someone who likes to master new skills and processes and then consistently deliver reliable results? Do you love to-do lists, sticky notes, and alphabetical order? Want to make a difference in babies’ lives while doing your job? Then joining the Mother’s Milk Bank at Austin (MMBA) as a Donor Program Assistant might be for you.

This full-time position sits on the Donor Mom Program team, and reports to the Donor Mom Program Coordinator. You will be responsible primarily for shepherding moms through the process of becoming an approved milk donor, which involves paperwork from the donating moms, medical records from their doctors, and bloodwork. With each successfully completed step, you’re bringing them one step closer to making a life-saving donation to MMBA.

Summary of Essential Job Functions

  • Demonstrate professional and encouraging communication by phone, fax and e-mail with health care providers’ offices and prospective donors
  • Establish positive relationships with health care providers and donor moms through each interaction
  • Accurately complete both electronic and paper donor files
  • Create bulk mailings of information packets for donors
  • Organize, track and maintain data via Excel, Timeless Medical Systems database and Google Sheets
  • Participate in creative problem-solving and evaluation of program effectiveness
  • Attend local community outreach events and represent MMBA, on occasion
  • Assist with other mission-related activities as needed, including milk processing and general office administration
  • Work closely with volunteers and students

Skills and Competencies Needed

  • Effective organization and written and verbal communication skills; very comfortable with telephone communication

  • Detail oriented with the ability to prioritize tasks and meet deadlines

  • Comfortable with computers, fax machine and copiers, as well as Microsoft Office and Google
  • Ability to work independently, stay on-task, and meet weekly goals without supervision

Compensation

Full-time salaried position based on $14-15 per hour (depending on experience)

Includes health and life insurance, paid vacation and holidays
